Operational Assistant

Description

Providing operational support, this mature and experienced professional will support the team, including the service manager and the president.  But this job is about more than answering phones and being friendly, your initiative and organizational skills will keep our team running at top performance, while your enthusiasm and ideas will shape the environment in which we all work.

We will rely on your passion and adaptability to maintain a professional presence and perform the following responsibilities:

  • Act as the single point of contact to the client for all types of service requests
  • Provide service dispatch by taking client calls and assigning available resources to service requests based on priorities
  • Monitor schedules to ensure prompt time entry on service requests
  • Communicate with the clients as required to keep them informed of incident progress and impending changes
  • Manage the purchasing and receiving functions
  • Provide sales support including assisting with preparing quotes, proposals and contracts
  • Organize and maintain electronic records
  • Process basic accounting functions like entering bills and deposits

Qualifications:

  • 2+ years professional related experience
  • Administrative experience preferred
  • Excellent communication and negotiation skills
  • Marketing experience is a huge plus
  • Prior bookkeeping/accounting experience strongly preferred
  • Ability to adapt to an ever changing environment
  • Ability to solve practical problems and deal with a variety of situations; ability to interpret a variety of instructions
  • High proficiency in Word, PowerPoint, Excel, Access and Outlook as well as general computer aptitude
  • Deadline and solutions oriented with the ability to handle multiple competing priorities; Wide variety of responsibilities means you’ll never be bored!
  • EXTREMELY ORGANIZED AND EFFICIENT
  • Team player who can roll up their sleeves and get involved in everything from big projects to mundane, simple tasks – A true go-getter!
  • Not easily frazzled and strong time-management skills during busy and slower periods throughout the day
